Black Pearl Cove Policies and Procedures

Ahoy there, Mateys! Welcome to our luxury waterfront nature resort! At Black Pearl Cove, we want to make sure you have smooth sailing during your stay. That's why we've got a few policies in place to keep things shipshape. As a premier destination, we are committed to providing our guests with a truly exceptional experience. To ensure a seamless stay and ensure a harmonious environment for all guests, we have established the following policies:

RESERVATION AND CHECK-IN:

  • - Reservations can be made via our website.
  • - A valid credit card, Valid Photo ID and all vehicle license plate numbers are required to secure a reservation. Payment will be processed at the time of booking.


CHECK-IN

Check-in after 1 p.m. on the day of arrival.

*All guests must be registered at check-in.

**Additional guests exceeding the maximum capacity will not be permitted. 


CHECK-OUT

Check-out before 11 a.m. on the day of departure. 

*Late check-outs may incur additional charges.

GENERAL CANCELLATION POLICY

Upon Booking, Guest Pays 100% of balance for all reserved units, packages and excursions. 

At Check-Out Guest will pay an outstanding balance for any additional items, packages and services added during stay.

  • - Cancellations made 30 days prior to the arrival date will receive a 25% refund.
  • - Cancellations made within 30 days prior to the arrival date will be subject to a penalty fee of 75% of the total reservation cost.
  • - No-Shows, or early departures will be charged the full reservation cost.

WEATHER-RELATED OR "ACT OF GOD" CANCELLATION POLICY

  • - In the event of weather conditions that pose a significant threat to the safety of our guests, the resort may proactively initiate cancellations to ensure their well-being.
  • - If the resort must cancel a reservation due to weather conditions, guests will receive a full refund or the option to reschedule their stay at no additional cost.
  • - Guests will be notified at the earliest possible time about any weather-related cancellations or changes to their reservation.

BUGS, INSECTS, SNAKES AND WILDLIFE DISCLOSURE

Our resort is nestled in an area abundant with wildlife, including possible encounters with various snake species, alligators and many insects or bugs. As guests of the resort, you acknowledge entering at your own risk and exercising caution when exploring the natural surroundings, stick to designated paths. Please avoid touching or provoking or feeding any wildlife you encounter. We assure you that our resort takes the safety and well-being of our guests as our highest priority, however we are not responsible and are held-harmless for any injuries that may occur due to wildlife.

EVENTS & PARTIES

All guests and vehicles on the property need to be registered on the app. Any guests or vehicles not registered on the app will be asked to leave. Parking is only permitted in designated areas. No parking on the grass. All guests must be registered at or before check-in. Additional guests exceeding the maximum capacity will not be permitted. Events or parties are not permitted. All guests must comply with quiet hour policies (10pm-7am). Resort is not responsible for any lost or damaged items in regard to the guest vehicles or belongings.

CHILDREN & PETS

Children are welcome with an accompanying adult, at all times.

Pets are not allowed unless provided by the resort.

CONCIERGE SERVICES AND ACTIVITIES

  • - Our concierge team is ready to assist you with all your needs, including transportation, excursions, adventures, and on-site games and activities. The resort is held-harmless for any incidences that may occur on or off site, with 3rd party vendors and concierge services. 
  • - Requests for transportation, excursions, or activities should be made in advance to ensure availability.
  • - Any changes or cancellations must be communicated within the designated time frame to avoid penalties.

CATERING AND FOOD CONSUMPTION

-The resort does not take responsibility for food and beverage safety or allergies.

HOUSE RULES

1. Guests are encouraged to ensure all windows and doors are closed/locked to maintain security and prevent rain and water damage.

2. Guests must supervise any babies and children at all times when using the Deck and Balcony areas.

3. Smoking is not permitted inside the Vacation Rental.

NOISE & ETIQUETTE

1. Respectful behavior towards other guests, staff, and the natural surroundings is expected at all times.

2.Guests and Visitors must keep noise to a minimum as not to disturb the occupants of neighboring properties – especially during nighttime hours (e.g. 10pm – 7am), and upon arrival and departure;

3. Excessive noise is prohibited at all times and may result in termination of the vacation rental agreement, eviction, loss of rental paid and extra charges which may be deducted from the Security Deposit; 

4. Guests are fully responsible for the safety and security of their children at all times, as well as any disturbance caused to other residents in the Neighborhood;

DAMAGE & LIABILITY

1. Any damage caused to resort property or its surroundings due to negligence or willful misconduct will be charged to the guest's credit card.

2. The resort is not responsible for any personal lost or stolen items. 

3. All Damages and Breakages must be reported to the Property Manager as soon as reasonably practicable. Failure to report them will likely result in an additional charge. To avoid Damages and Breakages, no furniture is to be moved from one room to another without prior agreement. Our resort takes a strict inventory of all items in each unit. Any items removed from the property will be charged to the guest account.

Breach of any of these Terms, Conditions or Disclosures is a breach of the Terms and Conditions of occupancy as per the Rental Agreement.


The Owner and Manager reserve the right to terminate permission to occupy and to evict from the Vacation Rental, any Guests or Visitors who refuse to follow these House Rules or who cause a nuisance to neighbors or other residents of the community.
